Case Study

The Illinois Education Association (IEA) supports more than 130,000 members—teachers, higher ed faculty, education support professionals, and future educators—through advocacy and employment-related legal assistance. With legal offices in three locations across the state, IEA’s Legal Department needed a centralized solution to improve consistency, collaboration, and operational efficiency.
“Each office had its own system for managing matters, and none of them talked to each other,” said Ann Holmes, Administrative Assistant. “Documents were stored on individual computers. There was no consistency—no easy way to share files, track phone logs, or store email. Everything was manual, scattered, and inefficient.”
After evaluating several platforms, IEA selected Legal Files, part of the Onit ecosystem, for its ability to consolidate legal operations, automate workflows, and support a mission-driven team. Onit’s Legal Files allowed the department to:
“We needed a system that made our jobs easier and helped us be better advocates for our members,” said Holmes. “Legal Files was clearly the right choice.”
Since implementing Onit’s Legal Files, the IEA Legal Department has gained major improvements in efficiency, collaboration, and service delivery:
Shared file access across all offices, enabling seamless case collaboration.
Time savings by automating document routing and eliminating paper-based handoffs.
Instant document generation using templates populated with case data—no more maintaining personal Word templates.
Improved organization, helping attorneys focus on member advocacy, not administrative work.
Ongoing discovery of new features, expanding the department’s ability to scale operations.
“Legal Files helps us be the best advocates we can be,” Holmes said. “It saves time and allows our attorneys to focus on what matters most—our members.”
Documents are instantly sent to one or multiple users with read receipts, replacing the need for scanning and emailing.
Templates auto-fill with case data, enabling faster, more consistent document creation.
“Legal Files understands what I’m saying, and they respond quickly. Their support has been outstanding,” said Holmes, who also serves as the department’s Legal Files administrator.
The Illinois Education Association is the largest union of education employees in the state, representing over 130,000 educators and professionals. With a mission to advocate for public education and protect member rights, IEA’s Legal Department uses Onit’s Legal Files to manage complex employment-related legal matters—bringing efficiency, structure, and collaboration to its critical work.
